Nuvance Health has a network of convenient hospital and outpatient locations — Danbury Hospital, New Milford Hospital, Norwalk Hospital and Sharon Hospital in Connecticut, and Northern Dutchess Hospital, Putnam Hospital Center and Vassar Brothers Medical Center in New York — plus multiple primary and specialty care physician practices locations, including The Heart Center, a leading provider of cardiology care, and two urgent care offices. Non-acute care is offered through various affiliates, including the Thompson House for rehabilitation and skilled nursing services, and the Home Care organizations.
Performs a wide variety of administrative and secretarial duties for the VP of Operations and other senior leaders as assigned requiring independent judgment and discretion. Interfaces successfully with all elements of the Medical Center's diverse constituency including patients, patients' families, employees and medical staff.
1.Coordinates all activities involved in the accurate preparation of customary and confidential departmental correspondence to facilitate ongoing communications and efficient departmental/medical center operations.
2.Types correspondence, accurately, such as letters, memorandums, minutes, presentations, reports, etc. from handwritten drafts, dictation or shorthand notes, in a neat and timely manner as assigned for the Medical Center.
3.Composes letters/memos on a regular basis to external and internal parties regarding forwarded/ requested information, and as required to complete assigned projects.
4.Completes/tracks purchase requisitions and check requests as required to ensure accurate/prompt payment, i.e., subscriptions, membership dues, conference registrations, travel arrangements, etc.
5.Follows-up on regularly scheduled correspondence/data due from staff as indicated by supervisor, in order to advise supervisor of status of requests and to facilitate results.
6.Screens and refers all incoming phone calls (from patients, visitors, physicians, board members, and employees) and department visitors to ensure that accurate and timely department communications are facilitated, and that the department/medical center is presented in a positive manner.
7.Maintains appropriate departmental records and establishes departmental filing systems to ensure the expeditious retrieval of information.
8.Completes time-sheets bi-weekly for self and supervisor as accurate record of hours worked.
9.Assumes responsibility for communications relative to VP of Operations calendar to accurately reflect commitments.
10.Schedules/reschedules monthly, weekly and random meetings for the Medical Center to make efficient use of time.
11.Assigns locations, directs appropriate persons regarding set-up, and composes related correspondence for all scheduled meetings.
12.Maintains calendar(s) to reflect organized, accurate schedule. Schedules, on a tentative basis, anticipated events.

16. Performs other duties as required.
·High School graduate. Associate degree preferred.
·Requires 5 years’ experience providing administrative support.
Proficient in the following programs: Microsoft Word, Excel, Outlook, and Power Point. Works on multiple projects. Strong written and verbal communication, and organizational skills.
